Office Administrator - Olney

£17000 - £18000 per annum

Office Administrator

Salary up to £18,000 PA DOE

Location: Olney

Full time/ permanent

Monday - Friday

9am - 5:30pm

Benefits: 23 days holiday plus bank holidays - 31 days holiday entitlement

Must be able to drive due to the office location

Key Responsibilities:

  • On a daily basis, you will raise purchase orders for equipment required by Service and Installation and ensure current company procedures are maintained for sign off and distribution
  • Obtain purchase orders from customers for replacement equipment
  • Chase suppliers for deliveries as required
  • On daily basis raise zero rated invoices against works order number (WON) on Customer Verisae system, or systems as used from time to time
  • To check off service dockets against timesheets to ensure all dockets are accounted for, and to report to the service manager any missing items. Keep log of any missing items.
  • To print off vehicle tracker reports for the relevant week, attach to the timesheet and pass to the service manager for payroll purposes. To check tracker reports against timesheets in accordance with requirements
  • Notify Service Manager of instances of failure to submit dockets and time sheets, or dockets in accordance with company procedure.
  • Sort dockets into customer groups and pass to Accounts for costing/invoicing. Assist in costing/invoicing when required.
  • Submit all non-chargeable dockets for review to nominated personnel.
  • Ensure service replacement spreadsheet is maintained and information contained is kept up to date
  • Follow up delivery of equipment to site, update spreadsheet and inform and service controller for action
  • Report to Service Manager any instance of equipment on site in excess of 3 working days
  • Provide cover for service desk, to ensure service calls are logged/closed down/passed to engineer as required
  • Provide cover for sales administration as required.
  • Prepare reports for management and attend meetings as requested.
